General Guidelines for PTA Presidents

After Installation (May and June)

  1. Last payment of state and national dues.
  2. Send registration for Leadership Training Conference (LTC) to State Office.
  3. Study materials received from past president.  If possible, schedule a meeting in order to discuss techniques for making a smooth transition.
  4. Arrange a conference with your principal to discuss goals and procedures.  (Schools have certain policies which control their operation.  The president should understand this.)
  5. Appoint committee chairs after conference with other officers.
  6. Help committee chairs appoint committee members.
  7. Hold program planning and budget planning meetings.
  8. Hold Executive Board meeting to approve program plans and to discuss budget plans – as well as ways and means.
  9. Send officer names, email and phone numbers to Council President.

Summer(July and August)

  1. Watch for local unit packets containing manual, membership cards, and material for officers and committee chairs.
  2. Insert local unit number on membership cards.
  3. Send State office the form for the Virginia PTA Bulletin distribution.
  4. Order additional PTA material needed for committee work.
  5. Attend Leadership Training Conference.
  6. Check with program chair to be certain programs are complete.
  7. Complete information for Council Handbook.
  8. Have treasurer’s books audited!

Summer Executive Committee Meeting

  1. Put all Council meeting dates on your schedule. 
  2. Submit budget and audit report for board approval.
  3. Report on Leadership Training Conference and other summer activities.
  4. Present and approve plan of work for committees.
  5. Discuss plans for State Convention – who will attend and how many delegates.
  6. PURCHASE INSURANCE FOR YOUR UNIT (required by NNPS)

September

  1. Introduce committee chairs.
  2. Present budget and audit report to general membership for adoption.
  3. Attend District Leadership Training.
  4. Submit plans for project (if planning one).
  5. Report from Council meeting.
  6. Elect convention delegates.
  7. Select a PTA Council Representative to attend Council General Membership meetings.
  8. Vote on the PLP Legislation that will be sent to the President.  (print a copy for each member and possibly vote at a board meeting or Back to School Night)

October

  1. Membership Enrollment Month
  2. Ways and Means Project fundraisers (October or November)
  3. Attend PTA Council General Membership Meeting with your Principal and Council Rep.
  4. Send in results of the Vote on the PLP to the District Director (name and number in this Handbook)

November

  1. American Education Week
  2. State Convention (send someone to vote for your local unit)
  3. Initial payment of Council, State, and National membership dues.

December

  1. Convention reports.
  2. Make plans to attend PTA Day at the General Assembly in late January/February.

January

  1. District mailing concerning district meeting.
  2. Plan for legislation program or to dispense information from Legislation Conference. (General Assembly meets every other year for a 60-day session.)
  3. Review bylaws
  4. Cultural arts deadline – must be submitted to Council.
  5. Post convention mailing from State office.
  6. Attend PTA Day at the General Assembly.

February

  1. Send Founders Day offering to State office.
  2. Elect nominating committee (check bylaws usually done in February).
  3. If legislative year, watch mailings on progress of bills.

March

  1. Report from nomination committee.
  2. Send annual report to Council and District.
  3. Send Outstanding Local Unit Report to District – watch newsletters.
  4. Watch for final report on legislation.
  5. Second payment of Council, State, and National dues.

April

  1. Watch for spring mailing from State office.
  2. Distribute materials from State office.
  3. Election of officers (check bylaws some local units use May)
  4. Report list of elected officers to Council president.
  5. Appoint auditing committee (using forms in back of Handbook) or make plans to have books audited at Newport News Council of PTAs “Audit Night”        .
  6. District Dinner.

May

  1. Have committee chairs prepare annual reports and present them to members at annual meeting.
  2. Election or installation of officers.
  3. Send local unit standard form and new officer form to State office and Council President.
  4. Arrange for delegates to attend Leadership Training Conference (good use of PTA funds).
  5. Give books and records to new president.
  6. Fill out and return all requested forms to the State office.
  7. Send handbook information to Council.
